1. Who We Are
This Privacy Policy explains how Dala Africa Group (“we”, “us”, “the Organizers”), the owner and organizer of the Africa HealthTech Summit 2026 (“AHTS 2026”, “the Event”), collects, uses, stores, and protects your personal data when you register for and attend the Event, including any co-located events accessible through the same registration platform.
For the purposes of Rwanda’s Law No. 058/2021 of 13/10/2021 relating to the protection of personal data and privacy (the “Data Protection Law”), the data controller is Dala Africa Group. The registration platform is operated on the Organizers’ behalf by a contracted technical service provider acting as a data processor under our instructions.

2. Personal Data We Collect
We collect the following categories of personal data through the registration platform and during the Event:
Registration data: full name, title, organization, job function, country, nationality, email address, phone number, and the registration category or badge tier you select, including group registration details submitted on behalf of colleagues from the same organization.
Identity and travel document data (international participants): passport or travel document number, issuing country, and related details you provide for the purpose of generating your official invitation letter, which is issued automatically upon successful registration and payment.
Payment data: payment is processed by our third-party payment provider. We do not collect or store your full card number or card security code on our systems. We retain transaction references, amounts, payment status, and invoices for accounting, refund processing, and dispute resolution.
Badge and check-in data: your badge photograph (where provided), your badge QR code, and records of badge scans at Event entry points and sessions, used for access control, security, and attendance analytics.
Special requirements: dietary requirements or accessibility needs you voluntarily provide. Because this information may reveal sensitive personal data (such as health or religious information), we process it only with your consent and only to accommodate your participation.
Communications: correspondence you send us regarding your registration, cancellations, transfers, or refunds.
Website data: technical data collected when you use the registration website, such as IP address, browser type, and cookies (see Section 10).
3. How We Use Your Data and Legal Bases
We process your personal data for the following purposes:
To process your registration and payment, issue your badge, and grant you access to the Event — necessary for the performance of our contract with you, as set out in the Event Terms and Conditions.
To automatically generate your official invitation letter following successful registration and payment, and to support your visa application where applicable — performance of contract and, where data is shared with immigration authorities, compliance with legal obligations.
To process cancellations, registration transfers to another participant from the same organization, refunds (including deduction of the applicable administrative fee), and payment disputes or chargebacks — performance of contract and our legitimate interest in managing the Event’s finances and defending payment disputes.
To communicate essential Event information, including any changes to the program, speakers, venue, dates, or format that the Organizers may be required to make — performance of contract.
To send you information about future AHTS events — our legitimate interest, or your consent where required. You may opt out at any time (see Section 11).
To maintain Event security, manage attendance, and compile aggregated, non-identifying statistics about participation — our legitimate interest in running a safe and well-organized Event.
To comply with legal obligations, including tax, accounting, and immigration requirements under Rwandan law.
4. Invitation Letters and Immigration Authorities
If you register as an international participant, the identity and travel document data you provide is used to generate your official invitation letter. Where necessary to facilitate your entry into Rwanda, relevant details may be shared with the Rwanda Directorate General of Immigration and Emigration or diplomatic missions, strictly for visa facilitation purposes. We do not use this data for any other purpose, and it is retained only as long as necessary (see Section 8).
5. Who We Share Your Data With
We share personal data only where necessary, with:
Service providers (data processors): the registration platform operator, payment processing provider, email delivery services, and badge printing and check-in service providers, all bound to process your data only on our instructions.
Event partners and co-located event organizers: where you register for a co-located event through the same platform, the data necessary to manage your participation in that event is shared with its organizers.
Immigration and government authorities: as described in Section 4, or where disclosure is required by law.
Financial institutions: where necessary to process payments, refunds, or resolve chargebacks and payment disputes.
We do not sell your personal data, and we do not share it with third parties for their own marketing purposes.
6. Where Your Data Is Stored and International Transfers
Your personal data is stored on secure servers managed by us and our contracted service providers. Where personal data is stored or transferred outside Rwanda — for example through our hosting or payment providers — this is done in accordance with the Data Protection Law, including any required authorisation from the National Cyber Security Authority (NCSA) and the implementation of appropriate safeguards to protect your data.
7. Security
We implement appropriate technical and organizational measures to protect your personal data, including encrypted connections (HTTPS/TLS) on the registration platform, access controls limiting data access to authorized personnel, and secure handling of payment transactions by our accredited payment provider. In the event of a personal data breach likely to affect your rights, we will notify the NCSA and, where required, affected participants in accordance with the Data Protection Law.
8. How Long We Keep Your Data
We retain personal data only as long as necessary for the purposes described above: registration and attendance records for the administration of the Event and a reasonable period thereafter; financial and transaction records for the period required by Rwandan tax and accounting law; travel document data used for invitation letters only until the conclusion of the Event and any related immigration follow-up, after which it is deleted or anonymized; and marketing contact details until you opt out.
9. Your Rights
Under the Data Protection Law, you have the right to: access the personal data we hold about you; request rectification of inaccurate or incomplete data; request erasure of your data where there is no lawful basis for continued processing; object to or request restriction of processing; withdraw consent at any time where processing is based on consent, without affecting processing carried out before withdrawal; and request portability of data you provided to us.
To exercise any of these rights, contact us at info@dalagroup.africa. We will respond within the timelines required by law. If you are not satisfied with our response, you have the right to lodge a complaint with the National Cyber Security Authority (NCSA), the supervisory authority for data protection in Rwanda.
Please note that some data cannot be erased while it remains necessary for legal compliance — for example, transaction records related to payments, refunds, or chargebacks.
10. Cookies and Website Analytics
The registration website uses cookies that are strictly necessary for the platform to function (such as session and security cookies) and analytics cookies that help us understand how the website is used so we can improve it. You can control cookies through your browser settings; disabling essential cookies may prevent registration from functioning.
11. Marketing Communications
We may contact registered participants about future AHTS events and related activities. Every such communication includes a clear way to unsubscribe, and you may opt out at any time by using the unsubscribe link or contacting info@dalagroup.africa. Opting out does not affect essential Event communications tied to your registration.
12. Photography and Recording at the Event
The Event may be photographed, filmed, and live-streamed. By attending, you acknowledge that you may appear in photographs, video, or broadcasts used by the Organizers for documentation and promotion of AHTS and future events. If you object to a specific image in which you are identifiable, contact info@dalagroup.africa and we will assess your request in line with the Data Protection Law.
13. Relationship to the Event Terms and Conditions
This Privacy Policy forms part of the Event’s Terms and Conditions, including the cancellation, refund, transfer, and chargeback provisions. Personal and transaction data is retained and processed as necessary to administer those provisions, including verifying refund eligibility, processing registration transfers upon prior written notice, and responding to payment disputes. Nothing in this policy limits any mandatory consumer rights that may apply under Rwanda’s Law n° 011/2026 (Competition and Consumer Protection).
14. Changes to This Policy
We may update this Privacy Policy from time to time, including where the Event program, format, or service providers change. The current version will always be available on the Event website, with the “Last updated” date shown above. Material changes affecting registered participants will be communicated by email.
